The Liv-Ex system created the 3000+ location bin barcodes and provided each case of fine wine with a unique serialised number allowing unique identification. Both data sets were set up in the Signetor system allowing them to be scanned and identified.

Barcode staff badges were provided allowing full traceability of who scanned and counted what product in each location.

Every day an up-to-date stock on hand report is uploaded with details of all the cases of wine, its serial number and their expected location. When uploaded the system creates a new file for the scanners. When the LIV-EX team start in the morning they press one button to refresh the data on their scanners and then they are ready to cycle count anywhere in the UK, France or Belgium.

The reporting system shows any variance between the actual and expected stock for any bin location counted. The staff can quickly investigate and rectify any issues.  

Clean & load the data files and preformed a data quality check to eliminate duplicate records, unprintable characters and white spaces. Files loaded (i) product master file (ii) load 6 stock-on-hand files. (1 for each branch.)

Each branch was sub divided down to individual racks. A count area barcode label was produced for each sales rack. Staff identification barcodes were created allowing full traceability of who scanned and counted what product at each location.

5 scanners were set up and shipped to the first location. Staff training was provided onsite to George Brown stocktake staff.

Support was provided during the stocktake by telephone and remotely connecting to the scanners. This allowed quick issue resolution for the counting staff, ensuring high productivity rates.

When the counting was complete the reporting suite showed the stock values by branch, product and combined totals as well as actual verses expected stock level variation for each branch.

Data files supplied were (i) product master file with some products having multiple barcodes were set up as aliases to the primary barcode allowing all to be scanned. (ii) the stock on hand file.

The garden centre was subdivided by department. A count area barcode was created for each department. This allowed department valuations as well as total stock value. Barcode staff badges were provided allowing full traceability of who scanned and counted each product in every location.

7 scanners were set up and shipped to the client site. Onsite training was provided to garden centre staff undertaking the stocktake. Support was provided during the stocktake with the ability to remotely connect to all the scanners. When the count was completed Signetor produced a suite of reports showing actual verses expected variation, stock values by department and staff scanning performance.

The Signetor system & support allowed the Duchy Garden Centre to achieve a robust count in the timeframes they set themselves, despite the doubling of retail space. The reporting and audit trail provided the required controls.
